Hiring: Marketing Project Coordinator Job Description


Chappell is currently seeking an enthusiastic marketing project coordinator to join our team. Bottom line – this person is a doer who executes quickly and efficiently, directs traffic, and moves projects across the finish line. The marketing division within Chappell is responsible for creating, distributing, and measuring the effectiveness of content for the Chappell brand as well as Chappell’s clients. This role is primarily client-facing and is responsible for the day-to-day coordination & management of all projects and client communication. On top of that, this role will also support internal team and project coordination with general brokerage and the Chappell brand. The ideal candidate should have excellent organization, communication, analytical, and project management skills. This person also likes to work in a fast-paced agency environment where agility is key and adaptability is a must, with new challenges that need tackling by the day. We are looking for a quick learner and multi-tasking expert who has excellent attention to detail. This role will report directly to the VP Marketing.


Job Responsibilities Include:

  • Creation and management of all tasks across project lifecycle using a project management software system, including timeline and milestone development, scheduling, budget/expense oversight, and file management
  • New project estimation and scope of work creation; working with clients and our virtual CFO overseeing client invoice schedule
  • Track and manage all marketing division receipts/invoices in coordination with virtual CFO
  • Ownership of all client communication, including client education, sending emails and status updates, leading client kickoff and feedback calls/meetings, capturing and circulating notes
  • Ownership of all feedback (internal and client), including ensuring that all feedback has been addressed in deliverables
  • Overseeing quality control for all creative deliverables and conducting project retrospectives
  • Assisting with new business pitches, including content generation and proofreading, as needed
  • Assisting with metrics report creation for clients (e.g., the performance of the website, social media, paid search, etc.), as needed
  • Assisting with effective policies and procedures to enhance workflow efficiencies across the organization
  • Coordinating all internal + external photography/video needs with general brokerage and internal team members
  • Coordinating all freelance partners, from scheduling to delivery, to payment
  • Organizing and maintaining photography and media assets on Google Drive, MLS, Zillow, and other third-party MLS-fed websites
  • Creating and maintaining the featured listings section of the Chappell website
  • Performing other responsibilities as assigned by the VP Marketing



  • Bachelor’s Degree
  • At least 1-2 years of project management experience, ideally in a small organization or agency setting
  • Experience managing creative teams and demonstrated experience managing creative projects, especially photography, videography, graphic design, written content, website builds, social media, email marketing, advertising, paid search, and metrics reporting
  • Experience with project management software; experience with implementing and rolling out a project management system is highly preferred
  • Excellent communication and organization skills
  • Experience analyzing and reporting on marketing metrics, specifically Google Analytics, Google Ads, Facebook Ads, and all major social media platforms/dashboards
  • Working knowledge and experience in multiple CMS platforms (WordPress, Squarespace, Wix)
  • Familiarity with the real estate industry is preferred but not required
